Privacy Policy

How Revenue Rounds handles website, demo, account, and customer integration data for veterinary practice revenue monitoring.

1. Scope

This Privacy Policy explains how Revenue Rounds ("Revenue Rounds," "we," "us," or "our") collects, uses, discloses, and protects personal information through revenuerounds.com, demo and contact workflows, and the Revenue Rounds service. The service helps veterinary practices review revenue, production, collections, labor, sync health, and operational KPI data from connected practice systems.

This Policy covers personal information we process as a business or controller. When a veterinary practice uses Revenue Rounds to process its own data, we generally process that practice data as a service provider or processor under the customer agreement, order form, or data processing terms that apply to that account.

This page is intended to be a clear public notice. It does not replace a signed services agreement, data processing addendum, or security addendum between Revenue Rounds and a customer.

2. Personal information we collect

3. How we use personal information

  • Send service, security, transactional, and account messages.
  • Measure site performance, marketing attribution, and product usage.
  • Prevent fraud, abuse, unauthorized access, and security incidents.
  • Comply with legal, accounting, tax, audit, and contractual obligations.
  • Create aggregated or de-identified insights that do not identify a person, practice client, or individual customer account.

4. How we disclose personal information

We may disclose personal information to service providers and processors that help us host, secure, analyze, support, bill, communicate, and operate the service; to integration providers when you or your organization authorize a connection; to professional advisors; to authorities or parties when required by law or necessary to protect rights and security; in connection with a merger, financing, sale, or similar business transaction; and to other parties at your direction or with your consent.

We do not sell personal information. We do not share personal information for cross-context behavioral advertising. If our practices change, we will update this Policy and provide any legally required opt-out mechanism.

5. Customer data and connected systems

Customer integration data belongs to the customer that provides or authorizes it. We use that data to provide Revenue Rounds, secure the service, troubleshoot, support account administrators, meet legal obligations, and follow customer instructions. We do not use customer practice data to train public or third-party AI models unless a customer separately agrees in writing.

Customers are responsible for configuring source-system permissions, determining what data may be connected to Revenue Rounds, providing required notices to their users, employees, clients, or other individuals, and using the service in compliance with their own legal obligations.

When you connect a system, you authorize Revenue Rounds to access only the data needed to produce your dashboards. Connected systems may include Intuit QuickBooks Online and Xero (accounting reports such as profit and loss, balance sheet, accounts-receivable aging, invoices, and payments), Gusto and ADP (payroll runs and labor-cost data), ezyVet and similar practice-management systems (appointments, invoices, and patient records), and Google Sheets inputs you choose to share. Access is requested through each provider's authorization (OAuth) flow using the narrowest scope available; for QuickBooks Online and Xero this is read-only accounting access.

For Intuit QuickBooks Online specifically, Revenue Rounds accesses your accounting data only through Intuit's API with read-only accounting scope, uses it solely to provide the service to your practice, never sells it, and never uses it for advertising. You can disconnect QuickBooks at any time from your settings, which revokes the stored access tokens and stops further retrieval; you may also revoke access from your Intuit account. The same disconnect-and-revoke control applies to the other connected systems.

6. Cookies, analytics, and preference signals

We use cookies and similar technologies for essential site functions, security, analytics, form attribution, and service improvement. Some browser or device settings may allow you to block cookies, but parts of the site or service may not work as intended.

Where legally required and technically feasible, we honor recognized universal opt-out preference signals for sale, sharing, or targeted advertising. Because we do not sell personal information or share it for cross-context behavioral advertising, these signals are treated as an opt-out preference for any future covered activity.

7. Retention

We keep personal information only for as long as reasonably necessary for the purposes described in this Policy, including to provide the service, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, and protect security. Retention periods vary by data type, customer instructions, legal requirements, and operational need. When information is no longer needed, we delete, de-identify, or securely archive it according to our retention practices.

8. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No system is perfectly secure, so customers should use strong account controls, limit source-system permissions, and promptly notify us of suspected unauthorized access.

Specific measures include encryption of credentials and connected data at rest using AES-256-GCM, encryption of all data in transit using TLS, isolation of secrets from application code, authenticated and role-restricted access, and storage of integration access tokens in encrypted form bound to the owning account. Access tokens are used only to maintain your authorized connections.

9. Your privacy rights

Depending on where you live and how you interact with us, you may have the right to request access, correction, deletion, portability, restriction, or information about certain disclosures; to opt out of sale, sharing, targeted advertising, or certain profiling; to limit certain uses of sensitive personal information; to withdraw consent where processing depends on consent; and to appeal a denied request.

If your request relates to a Revenue Rounds customer account, we may refer your request to the customer that controls the account data.

10. California and other U.S. state notices

For California residents and residents of other states with comprehensive privacy laws, the categories of personal information we collect, sources, purposes, and disclosure categories are described above. We do not knowingly sell or share personal information of consumers under 16. We do not discriminate against people for exercising privacy rights.

Authorized agents may submit requests where permitted by law. We may ask for proof of authorization and may require the consumer to verify the request directly unless applicable law says otherwise.

11. International users

Revenue Rounds is operated from the United States. If you access the site or service from outside the United States, your information may be processed in the United States and other locations where we or our service providers operate.

12. Children

The site and service are intended for business users and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child provided personal information to us, contact us and we will take appropriate steps.

13. Changes to this Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new "Last updated" date. Material changes may also be communicated through the service or other reasonable methods.
