Terms and Conditions
1. Agreement to these Terms
These Terms and Conditions ("Terms") govern access to revenuerounds.com and use of the Revenue Rounds website, demos, content, and services (collectively, the "Services"). By accessing the website, creating an account, requesting a demo, or using the Services, you agree to these Terms on behalf of yourself and, if applicable, the organization you represent.
If you use Revenue Rounds under a signed order form, master services agreement, data processing addendum, or similar written agreement, that written agreement controls if it conflicts with these Terms.
2. Business use
Revenue Rounds is designed for veterinary practices, practice groups, owners, managers, finance operators, and other authorized business users. The Services are not intended for personal, household, child-directed, or consumer medical use.
3. The Services
Revenue Rounds helps authorized users connect practice systems and review operational KPI data, including revenue, production, collections, service mix, labor pressure, sync status, mapping exceptions, and related business signals. Features may vary by plan, implementation stage, connected systems, source-data quality, and customer configuration.
4. Accounts and authorized users
- You must provide accurate account, billing, and contact information.
- You are responsible for activity under your account and for keeping credentials confidential.
- You may only invite users who are authorized by your organization.
- You must promptly notify us of suspected unauthorized access or credential compromise.
5. Customer data and integrations
You retain ownership of data you or your organization submits, uploads, connects, or authorizes for use with Revenue Rounds ("Customer Data"). You grant Revenue Rounds the rights needed to host, process, transmit, analyze, secure, display, and support Customer Data solely to provide and improve the Services, comply with law, and fulfill these Terms or the applicable written agreement.
You are responsible for obtaining and maintaining all rights, permissions, notices, and consents needed to connect accounting, payroll, PIMS, practice-management, or other systems to Revenue Rounds. You are also responsible for the accuracy, completeness, legality, and configuration of Customer Data and source-system permissions.
Do not submit human medical records, protected health information under HIPAA, payment card numbers outside approved payment fields, Social Security numbers, government ID numbers, or other regulated data unless a written agreement expressly authorizes that data type and the required safeguards are in place.
6. Acceptable use
You may not use the Services to:
- Violate law, third-party rights, vendor terms, or confidentiality obligations.
- Access, test, scan, or attack systems without authorization.
- Upload malware, harmful code, or deceptive content.
- Reverse engineer, scrape, or attempt to extract source code except where law expressly permits.
- Interfere with service integrity, availability, rate limits, security controls, or other customers.
- Misrepresent KPI outputs, reports, or exports as audited financial statements.
- Use the Services to make veterinary medical decisions for an individual patient.
7. Fees, trials, renewals, and cancellation
Fees, payment timing, taxes, trial terms, renewal periods, cancellation rights, and refund terms are stated in the applicable order form, checkout flow, invoice, or written agreement. If a subscription renews, renewal and cancellation terms must be disclosed before you authorize recurring charges. Unless the applicable written agreement says otherwise, you may request cancellation by contacting legal@revenuerounds.com or through any account cancellation method we provide.
8. Third-party services
The Services may connect to or depend on third-party systems, including accounting platforms, payroll systems, PIMS or practice-management systems, hosting providers, payment processors, analytics tools, email providers, and other vendors. We are not responsible for third-party products or for changes, downtime, API limits, data quality, or terms imposed by those providers.
Connected third-party systems may include Intuit QuickBooks Online, Xero, Gusto, ADP, ezyVet, and Google. By connecting one of these systems, you confirm that you are authorized to grant access to that data and you authorize Revenue Rounds to retrieve and process it to provide the Services. Your use of each connected system remains governed by that provider's own terms and privacy policy. You may disconnect any integration at any time, which revokes Revenue Rounds' stored access tokens for that system and stops further retrieval.
9. Confidentiality and security
Each party may receive non-public business, technical, financial, security, or operational information from the other. The receiving party must use reasonable care to protect confidential information and may use it only to perform under these Terms or the applicable written agreement. Revenue Rounds uses safeguards designed to protect Customer Data, but no service can guarantee absolute security.
10. Ownership and feedback
Revenue Rounds and its licensors own the Services, software, designs, workflows, documentation, content, trademarks, and other intellectual property. Except for the limited rights expressly granted, no rights are transferred to you. If you provide feedback or suggestions, you grant us a perpetual, irrevocable, worldwide, royalty-free right to use that feedback without restriction or compensation.
11. Aggregated and de-identified information
We may create and use aggregated or de-identified information for analytics, benchmarking, security, research, and product improvement, provided it does not identify you, an individual, a veterinary client, or a specific customer account.
12. No professional advice
Revenue Rounds provides operational and financial visibility tools for business review. The Services do not provide accounting, tax, legal, investment, audit, payroll, employment, veterinary medical, or professional advice. KPI outputs, dashboards, exports, and recommendations should be reviewed by qualified advisors and authorized practice leaders before decisions are made.
13. Service changes and beta features
We may modify, improve, suspend, or discontinue features from time to time. Beta, preview, or experimental features may be incomplete, may change, and may be provided with additional limitations.
14. Termination and suspension
We may suspend or terminate access if you violate these Terms, fail to pay amounts due, create security or legal risk, or use the Services in a way that could harm Revenue Rounds, customers, or third parties. You may stop using the Services at any time, subject to any payment, cancellation, data export, and post-termination terms in your written agreement.
15. Disclaimers
To the maximum extent permitted by law, the Services are provided "as is" and "as available." We disclaim warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted operation, error-free operation, and that outputs will be accurate, complete, or suitable for every business decision. Some jurisdictions do not allow certain disclaimers, so some of these terms may not apply to you.
16. Limitation of liability
To the maximum extent permitted by law, Revenue Rounds will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost goodwill, business interruption, or loss of data. Unless a written agreement states a different limit, Revenue Rounds' total liability for claims relating to the Services will not exceed the amounts paid to Revenue Rounds for the Services giving rise to the claim during the three months before the event giving rise to liability. These limits apply regardless of legal theory and even if a remedy fails its essential purpose.
17. Indemnity
You will defend, indemnify, and hold Revenue Rounds harmless from claims, damages, liabilities, losses, and expenses arising from your Customer Data, your use of the Services, your connected systems, your violation of these Terms, or your violation of law or third-party rights.
18. Governing law and venue
Unless a written agreement says otherwise, these Terms are governed by the laws of the State of Georgia, without regard to conflict-of-law rules. The state and federal courts located in Georgia will have exclusive jurisdiction for disputes not subject to a separate written dispute-resolution agreement.
19. Changes to these Terms
We may update these Terms from time to time. The updated version will be posted on this page with a new "Last updated" date. Material changes may also be communicated through the Services or other reasonable methods. Continued use after changes become effective means you accept the updated Terms.
